1. Who We Are

The COE Courses application ("the App") is operated by the College of Education (COE), a school of the University of the Nations (UofN) — the university of Youth With A Mission (YWAM). The App is published and maintained by ThisCity (Apps & Services) on behalf of the College of Education. The College of Education is the data controller responsible for the personal data processed through this App.

2. Data We Collect

To administer your training programme, we collect and store:

• Full legal name
• Email address
• Date of birth
• Contact telephone number
• Profile photograph
• Training submissions, assignments, and grades

We collect only what is necessary to run your course.

3. How We Use Your Data

Your personal data is used solely to:

• Manage your enrolment and track your training progress
• Issue certificates of completion
• Communicate with you about your course
• Comply with applicable legal and organisational obligations

We do not sell, rent, or share your data with third parties for marketing or commercial purposes.

4. Data Storage & International Transfer

Your personal data is stored on Google Firebase (Firestore and Firebase Storage), which may be hosted in multiple regions. By using the App, you consent to your data being transferred to and stored on these servers. Google applies industry-standard security measures. We implement appropriate contractual and technical safeguards to protect your data.

5. Data Retention

We retain your personal data for as long as your account is active or as required to fulfil the purposes set out in this policy. Certificate and academic records are retained for seven (7) years. You may request deletion of your account and data at any time.

6. Who Can See Your Data

Access to your personal data is role-restricted within the App:

• Trainers/Teachers may view your name, profile photo, submissions, and grades.
• Trainers may not access your date of birth or contact number.
• Administrators have full access for support and compliance purposes.

Your data is never displayed publicly.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you
• Correct inaccurate or incomplete data
• Request deletion of your data ("right to erasure")
• Receive a portable copy of your data
• Withdraw consent at any time

8. Security

All data is transmitted over TLS-encrypted connections. Data is encrypted at rest. Access is controlled by role-based permissions and we regularly review our security practices.

9. Cookies & Analytics

The App does not use advertising cookies or third-party analytics trackers. Firebase may collect anonymised usage metrics to support App stability and performance.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When the policy changes materially, the version number will be updated and you will be asked to review and accept the updated policy before continuing to use the App.
